We don’t sell personal info. We share information with authorized service participants as described below, cloud providers we use to operate the service, email providers for transactional messages, connected integrations (e.g., Beehiiv), configured AI providers when those features are used, and when required by law.
When you request or deliver a service, we process the contact and project details, service scope, pricing, approvals, agreements, files, messages and results needed to provide that service. Authorized clients, payers, staff and assigned contractors receive access appropriate to their role. Staff-only drafts, internal work and private intake have separate access controls.
Where a connected service is enabled, we use QuickBooks accounting data such as customer and vendor references, invoices, bills, applicable tax information, payment records and accounting documents to prepare and reconcile approved services and contractor statements. Hosted service checkout and appointment payments use Shopify or Stripe. We retain the provider references, amounts and payment or refund status needed to reconcile those transactions. Payment entry takes place with the payment provider.
When a staff member or contractor connects Google Calendar, we use the authorized calendar and event information to manage service appointments, including their time, status and meeting link. Appointment records can be linked to the host, payment and commission record. Industry Desk also stores assignment, compensation-policy, commission, adjustment and statement records for authorized operations and contractor access.
We store campaign files and dated evidence to deliver services and show results. Depending on the enabled service, this can include information from ClickUp, Spotify, WARM, and reports or screenshots supplied from Artist.Tools. We may use connected Google Drive storage for service folders and Gmail for operational email. Approved service messages can include campaign details, invoices, reports, attachments and links to the client workspace, addressed to the relevant authorized participants.
When an authorized staff member requests AI drafting, selected service material, source notes and campaign results may be sent to the configured AI provider, including OpenAI, to prepare draft press or Discovery material. Staff review and approval are required before those drafts are published or sent through the service workflow. When you use Agent voice, your audio and relevant recent conversation context are also sent to the configured AI provider. Do not include information in notes or conversations that you are not authorized to share for that purpose.
Connected providers process the information sent to them under their own terms and privacy policies. You can withdraw an integration authorization using the provider’s account controls. Disconnecting an integration does not by itself delete completed invoices, payment records, agreements, reports or other service history. We retain records as needed to operate the service, comply with law, and resolve disputes. You may request deletion.
